Please fill in the appropriate section of the bookings system in block capitals, ticking the appropriate boxes. Full payment with credit card is required, in order to finalize your reservation. Participants are requested to indicate their preference of hotel category, the type of room preferred and the dates of their stay. At the time of ticking the preferred hotel, availability can be shown and reservation can be confirmed without any delay. Name allocation for each room booked is required. Special requests regarding room reservations can be noted in the “remarks” field. As soon as your credit card is charged, the system will provide you with a confirmation, including your reservation’s details, which can be easily printed. Respective voucher(s) will be sent via e-mail a few days prior to the PAAM 2017.

 

 

Please complete the appropriate section of the Bookings Form in block capitals, ticking the appropriate boxes. The hotel reservation cannot be confirmed until the Bookings Form has been duly received, along with a 50% advance deposit, specification of the category, type of room preferred, and the dates of your stay. Delegates are requested to indicate their preference of hotel category in numerical order. If the preferred hotel category is not available, delegates will be given the next available choice. The deposit should correspond to the price of the hotel category of the delegate’s first choice. The Bookings form should be sent along with the deposit to Erasmus Tours and Travel UK Ltd. as soon as possible. A note of confirmation will be sent to the delegate, stating the amount left to be paid, as well as the name and address of the hotel of their stay. Full payment should be made before September 15th, 2017, after which the delegate will receive the respective voucher(s).



Group Accommodation

Group accommodation is available offline for Pharmaceutical Companies or Travel Agencies wishing to make hotel reservations to the Meeting.

Important note: For Organizational purposes please note that all fields per delegate are required.

Methods of Payment
All payments are to be made in EUR. Please note that all bank fees need to be settled by the payee. Confirmation letters and payment invoices will only be sent upon receipt of the appropriate fees. Outstanding payments must be settled on site during the meeting.

By credit card | Online
Online payments by credit card will be processed through the Meeting’s online services system. Upon completion of payment, the online system will redirect you to a confirmation of services and the respective payment page; you are kindly advised to print or save a copy, as this will be your official booking confirmation voucher regarding the aforementioned Meeting.

By bank transfer | Online
Online bookings by bank transfer can be processed through the Meeting’s online services system. After selecting the Meeting services of your choice, please tick the appropriate box (payment “by bank transfer”) in the payments section. The online system will then redirect you to a confirmation of services page; you are kindly advised to print or save a copy, which will serve as your booking order regarding the aforementioned Meeting. After receipt of payment of the appropriate fees, you will receive official confirmation of the services booked for the Meeting in the email address advised for communication.

Important Note
Your bookings will be valid for seven (7) days after completion of the online order. Payment by bank transfer is to be completed within this time frame, for final confirmation of your bookings. After the 7-day deadline has expired, your bookings will be considered as null and void.

Cancellation Policy
Written notification is required for any cancellation or change to hotel bookings. A copy of the Registration and Accommodation Booking Form is to be attached to the letter of notification and sent to ERASMUS TOURS & TRAVEL UK Ltd.

Refunds will be made as follows:
  • Up to and including 31 August 2017: Full refund less 25% administration fees
  • From 1 September 2017 onwards: No refund is granted
  • All refunds will be made within two months after the end of the Meeting. Bank charges will be deducted
