Poster Presenter Guidelines

Poster Discussion Sessions – Presenter Guidelines

Poster Discussion Sessions (PDS) are conducted with E-Posters. Four Poster Discussion Zones are integrated in the Poster Area.

The Poster Discussion Zones feature a large touch screen and space for audience. Each PDS contains 12-15 posters and runs for 90 minutes in total. Each abstract presenter will have the opportunity to summarize their main findings in 5-7 minutes including discussion time (depending on number of abstracts per session) while zooming into different parts of the E-Poster. Please note that it is preferred that the presenters remain for the entirety of the session to answer questions.

E-Posters will be also available for viewing in the EAACI Congress App as of 26 May 2018 and onsite at the congress in the Virtual Congress Hubs.

Presenters will receive their final abstract number by beginning of May. This abstract number will be used to identify your abstract in the Congress programme. Please note that it replaces the submission ID you received when submitting your abstract.

If you have any questions related to your presentation, please consult the Poster Help Desk.

Best presentation prize
A prize of EUR 200 will be awarded to the best presentation in each abstract session. The winners of the awards will be listed each evening at the EAACI Booth and acknowledged on the Congress website. The prize money will be paid after the Congress and a diploma will be sent by e-mail.

Poster upload and measurements
E-Posters must be uploaded prior to the Congress in order to allow technical processing. If your abstract has been accepted, you will be sent a link to upload your poster.

All E-Posters must have landscape orientation and can have up to 10 slides. (In this case please duplicate the template slide provided here below as necessary. However, please note that you have to upload your E-Poster presentation in one PDF.)

The poster measurements are as follows:

Dimensions in Pixel     1536 width x 1080 height
Dimensions in cm       54,2 width x 38,1 height

For guidelines on how to prepare your E-Poster, please click here.

By clicking on this link, you will also have the possibility to download a poster template to start creating your poster. Please be aware that the final deadline for the poster upload will be May 20, 2018.

Embedded videos
You can enrich your poster by embedding a video with a maximum length of 30 seconds. Possible video formats are: .mp4, .mpg, .mov, .avi (no sound supported)

Illustration layout
Drawings, diagrams and pictures are helpful and often necessary to illustrate results and conclusions. Make sure that your illustrations are easy to understand. Do not overload charts or drawings with information.

Conflict of interest
A disclosure of conflict of interest* must be included in the poster presentation. It should be placed on the second slide and state:

In relation to this presentation, I declare the following, real or perceived conflicts of interest: (description of the conflict of interest)

OR

In relation to this presentation, I declare that there are no conflicts of interest.

* A conflict of interest is any situation in which a speaker or immediate family members have interests, which may cause a conflict with the current presentation. Conflicts of interest do not preclude the delivery of the talk, but should be explicitly declared. These may include financial interests (e.g. owning stocks of a related company, having received honoraria, consultancy fees), research interests (research support by grants or otherwise), organisational interests and gifts.

Trade names
Please note that the same rules apply for poster presentations as for abstracts with regards to trade (brand) names and company names. Any place on the abstract and poster presentation should not include the brand names (the trade name used for commercial purposes). Non-proprietary (generic, chemical) names of drugs should be used. Company names can be used in the authors’ affiliation and as a source to a material mentioned in the body of the poster, such as “Imiquimod (3M, Milwaukee, USA) was used to stimulate dendritic cells.”

As company logos are legally the same as the name of the company, they can be used in any place where the company name can be written.

If EAACI receives a complaint about the rules not being followed, the matter will be investigated after the Congress and appropriate action will be taken.

Consent for publication of individual patient data - applies to abstracts and presentations with identifiable patient information

For the publication of an abstract/presentation that contains identifiable information about patients, it is necessary that patients have given consent for the research to be published. For all abstracts/presentations that include identifiable patient details (e.g. gender, age, illness, location) or images, written informed consent for the publication of these must be obtained from the patient (or their parent or legal guardian).

It is the author’s responsibility to obtain written informed consent for publication of clinical details and/or clinical images from the patient/parent/guardian/relative of the patient. A respective statement needs to be included on the poster.

Your poster in the app
To give your poster more impact and visibility, EAACI will include your E-poster and the abstract text in the Congress app where they will be available as of 26 May 2018.

Registration
All presenting authors must register and pay the registration fee. If you are not registered yet, please click here to register for the Congress.

Thematic Poster Sessions – Presenter Guidelines

Following the “EAACI Goes Green Initiative” in 2018 all posters have to be submitted in an electronic format, paper posters will NOT be accepted.

The abstracts are organised in thematic groups of 15-20 posters and will be displayed for one day at E-Poster stations. At lunch time the presenters are required to stand by their station and answer questions from delegates. During this time, two moderators will also visit each station and ask the presenters to briefly present their findings. Please note that each TPS runs for 90 minutes in total.

It is preferred that the poster presenters remain for the entirety of the session to answer questions from delegates.

Presenters will receive their final abstract number by beginning of May. This abstract number will be used to identify your abstract in the Congress programme. Please note that it replaces the submission ID you received when submitting your abstract.

Poster Area
The Session number and title will be printed on walls standing behind the stations, so terminals can be found easily. If you need help finding your designated poster terminal, please consult the Poster Help Desk.

E-Posters have to be uploaded prior to the Congress in order to allow technical processing. If your abstract has been accepted, you will be sent a link to upload your poster.

All thematic posters must have portrait orientation with one single page.

The poster measurements are as follows:

Dimensions in Pixel     1080 width x 1536 height
Dimensions in cm       38,1 width x 54,2 height

Please find detailed poster guidelines including orientation, format, dimensions etc. here. By clicking on this link, you will also have the possibility to download a poster template to start creating your poster.

Please be aware that the final deadline for the poster upload will be May 20, 2018.

The posters will be presented on our new interactive poster terminals. There will be one microphone for the presenter and one wireless microphone for the chair. You can see more details about the terminals at http://www.dasterminal.com

Embedded videos
You can enrich your poster by embedding a video with a maximum length of 30 seconds. Possible video formats are: .mp4, .mpg, .mov, .avi (no sound supported)

Text layout
Give a short and comprehensive review of the basic items of your study. Divide your text into clearly delineated paragraphs and sections such as Introduction or Aim, Materials and Methods, Results and Conclusions. Remember that it is easier to read a paragraph of six lines or less. As we have digital posters this year you can easily zoom into different parts of the poster by using the iPad which is connected to the screen.

Illustration layout
Drawings, diagrams and pictures are helpful and often necessary to illustrate results and conclusions. Make sure that your illustrations are easy to understand. Do not overload charts or drawings with information.
