CHAIRPERSON INSTRUCTIONS

Dear Chairperson,

On behalf of the Scientific Programme Committee and the Local Organising Committee we would like thank you for your participation in the Congress as a chairperson. Please see a few instructions below:

PLENARY SESSION
The session will last 1 hour and 30 minutes including a short introduction by the chairpersons and three lectures. The lectures should be 25 – 30 minutes and there are no discussion planned.

We ask you as a chairperson to introduce the speakers and ensure that the timelines are being kept.

SYMPOSIA
The session will last 1 hour and 30 minutes including a short introduction by the chairpersons and three lectures. The lectures should be 22 – 25 minutes leaving 5 minutes for discussions.

WORKSHOP
The session will last 1 hour and 30 minutes including a short introduction by the chairpersons and three lectures. The lectures should be 20 minutes leaving 10 minutes for discussions.

We ask you as a chairperson to introduce the speakers and ensure that the timelines are being kept. Introduce each speaker and their topic just prior to the individual talk. Refer to the Final Program for a listing of all speakers and topics.

Do remind the speakers of their time limit before the session begins. If a speaker goes over their time allotment, please motion to them that their time is up – decrease the Q & A period if necessary. Inform the audience that questions will be addressed after each presentation. If audience response lags, please be prepared with a question or two of your own.

ORAL ABSTRACT SESSION
The oral abstract session will last 1 hour and 30 minutes and consist of 6 abstracts. An appointed chairperson gives a 10 minutes introductory lecture before the session starts. The abstract presenters will be given 8 minutes to present their abstract followed by 4 minutes discussion.

We ask you as a chairperson to introduce the abstracts and presenters and ensure that the timelines are being kept.


A prize of EUR 200 will be awarded to the best abstract in every abstract session. It is up to you as a chairperson to select the winning abstract in your session. The winners will be announced in the evening on the same day as the session takes place. Therefore it is very important that you hand in the prize form to the Speaker’s desk immediately after the session is over.

The prizes will be handed out on the Closing Ceremony. All awards must be collected personally on site.

POSTER DISCUSSION SESSION
The poster discussion session will last 1 hour and 30 minutes and consist of 10-12 abstracts. The posters will be available in the room two hours before the start of the session.

The abstract presenters will have the opportunity to summarise their findings in one or two minutes, and may show ONE overhead transparency* to illustrate the most important part of their findings.

We ask you as a chairperson to co-ordinate the session and ensure that you will have time to read all abstracts, give each abstract presenter the chance to present their work with a following discussion.

The format is free and you can choose to use the first half of the session to view all abstracts and the second half for presentations and discussions, or you can do presentations and discussions on the abstracts one by one during the whole session.

*An overhead projector transparency is physical, not digital, with the measurements of a normal piece of paper. Both American size (8,5x11 inches) and European (A4, 20x30 cm) works fine. The technique is to place the transparency on a projector, and lighten it from underneath. The image/text on the transparency will then be shown and enlarged on the wall.

POSTER SESSION
The poster session will last 1 hour and 30 minutes, during lunchtime, and consist of 12-16 abstracts. The posters will be on display two hours before the session starts.

The abstract presenters are requested to be standing by their poster during the whole session be prepared to deliver a “two minutes take home message” and answer questions.
